Equipment Checkout Software for Labs

Know where every instrument is, who has it, and whether it’s due for calibration — before someone checks it out. Purpose-built custody tracking for labs that share equipment across teams, departments, and sites.

Free plan includes 25 instruments. No credit card required.

The Problem: Lost Instruments, Missed Calibrations, and “Who Has the Fluke?”

Labs that share equipment across teams and departments run into the same problems repeatedly:

Instruments go missing. Someone borrows a multimeter for a field job and doesn’t return it. A reference standard sits in another department for two weeks without the calibration lab knowing. When an auditor asks where instrument CAL-0087 is, nobody can answer confidently.

Calibrations get skipped. An instrument is checked out for field work and comes due for calibration while it’s away. Without visibility into checkout status, the calibration team can’t recall it — and the technician in the field doesn’t know it’s overdue.

There’s no custody trail. When a measurement is questioned, you need to prove which instrument was used, by whom, and whether it was in calibration at the time. If your checkout process is a whiteboard or a shared spreadsheet, that chain of custody has gaps.

Scheduling conflicts. Two teams reserve the same instrument for the same week. Without a central booking system, these conflicts surface at the worst possible time — when someone shows up to collect an instrument that’s already gone.

How ToolLedger Solves It

ToolLedger combines equipment checkout with calibration management in one system. This isn’t a generic asset lending tool bolted onto a calibration database — the checkout workflow is aware of calibration status, due dates, and compliance requirements.

Checkout and Checkin Log

Every checkout and checkin is recorded with timestamps, user identity, and purpose. Build a complete custody chain for any instrument: who had it, when, where they took it, and when it came back.

Calibration-Aware Checkouts

This is what separates ToolLedger from generic checkout tools. When someone checks out an instrument, the system shows its current calibration status and next due date. If an instrument is overdue or due soon, the checkout screen flags it — so technicians never unknowingly use an out-of-calibration instrument in the field.

Location Tracking

Track which site, building, room, or workstation each instrument is currently at. When an instrument moves during a checkout, the location updates automatically. Multi-site organizations get a real-time view of equipment distribution across all locations.

QR Code Scanning

Generate QR labels for every instrument. Scan a code with any mobile browser to instantly check an instrument in or out — no app installation needed. The scan pulls up the instrument’s record, showing calibration status, current custody, and location in one view.

Use Cases

Lab Custody Transfer

A calibration lab sends instruments to internal customers for use and receives them back for recalibration. ToolLedger tracks the full cycle: calibration → checkout to department → use → checkin → recalibration. The lab always knows which instruments are in-house and which are in the field.

Department Checkouts

QA teams, R&D labs, and production floors share a common equipment pool. Departments check out instruments for projects, return them when done, and the equipment manager has a live view of availability and usage patterns.

Field Equipment Dispatch

Service organizations send calibration equipment to customer sites. Track which instruments are dispatched, to which customer, and when they’re expected back. Flag any instruments that will come due for calibration during the dispatch period.

Cheqroom is a well-regarded equipment management platform popular with AV, IT, and media teams. It has strong checkout workflows and good mobile apps. However, it has no calibration features — if your lab needs to track calibration alongside checkouts, you’d need a second system.

Shelf.nu is an open-source asset tracking tool with checkout capabilities. It’s lightweight and affordable, but — like Cheqroom — has no concept of calibration intervals, certificates, or compliance workflows.

ToolLedger is the only option that combines checkout tracking with calibration management. One system for custody, calibration, and compliance — instead of juggling two platforms that don’t talk to each other.

Who It’s For

Calibration labs that lend instruments to internal customers and need to track custody alongside calibration schedules.

QA departments managing shared test equipment across production lines, shifts, or buildings.

Multi-site organizations with equipment pools that move between locations and need real-time visibility into where instruments are and who has them.

Field service teams that dispatch calibration equipment to customer sites and need to track custody, location, and calibration status remotely.

Teams currently using spreadsheets, whiteboards, or email to manage equipment lending. If you’re spending time answering “where’s the Fluke?”, a dedicated checkout system pays for itself immediately.

Checkout + calibration in one system

Stop juggling separate tools for equipment lending and calibration tracking. ToolLedger handles both — so you always know where your instruments are and whether they’re in calibration.
