Tamper-evident audit trail

Every action is logged: record creation, updates, status changes, logins, exports, and deletions. Each entry captures the timestamp, user identity, and before/after values.

Log entries are linked using a cryptographic hash chain. Each entry's hash includes the previous entry's hash, creating an unbreakable sequence. Any modification or deletion of a log entry breaks the chain — making tampering immediately detectable.

Export the full audit trail as PDF or Excel, formatted for assessor review. Filter by date range, user, instrument, or event type. Give your assessor exactly what they need, in the format they expect.

Does ToolLedger meet ISO 17025 requirements?
ToolLedger is designed to support ISO 17025 compliance. It provides tamper-evident audit trails (7.5), equipment records with unique IDs (6.4.3), calibration traceability (6.4.6), scheduled intermediate checks (6.4.7), out-of-tolerance workflows (6.4.8), and document control with version management (8.3). ToolLedger is a tool that supports your compliance — accreditation itself is determined by your assessor based on your overall quality management system.
How does the tamper-evident audit trail work?
Every action in ToolLedger — creating records, updating calibration dates, changing instrument status, user logins, data exports — is logged with a timestamp, user identity, and before/after values. These log entries are linked using a cryptographic hash chain, meaning any modification or deletion of a log entry would break the chain and be immediately detectable. The audit trail is exportable as PDF or Excel for assessor review.
Can we use ToolLedger for our SWEDAC accreditation?
Yes. ToolLedger is designed with Swedish accreditation requirements in mind. Data is hosted on EU-based infrastructure (GDPR-compliant), and the platform supports the record-keeping, traceability, and audit trail requirements that SWEDAC assessors look for. Swedish-language support is planned.
How do we migrate from our current system?
ToolLedger supports CSV and XLSX import with automatic field mapping. Export your instrument data and calibration history from your current system, upload it to ToolLedger, map the columns, and import. For Enterprise customers, we offer assisted migration with data validation and parallel-run support to ensure nothing is lost in the transition.
Is the data hosted in the EU?
Yes. ToolLedger uses Supabase for data storage, hosted on EU-based infrastructure. All data is encrypted at rest and in transit. We are fully GDPR-compliant and can provide a Data Processing Agreement (DPA) for organizations that require one.
What's included in the Enterprise plan?
The Enterprise plan includes everything in Professional plus: custom onboarding and training, dedicated account management, SLA with guaranteed uptime, API access for integration with your LIMS or ERP, SSO/SAML authentication, custom data retention policies, and priority support.
